Data Protection Complaints
If you are unhappy with how we have handled your personal information, you have the right to complain to us, and to the Information Commissioner's Office (ICO). This page explains how, and what we will do. It covers data protection complaints specifically; complaints about our claims service are handled under our separate complaints procedure.
What counts as a data protection complaint
Any expression of dissatisfaction about how we handle personal data. You do not need to label it a complaint for us to treat it as one. Examples include:
- How we have collected, used, stored or kept your personal information, or its accuracy
- How we responded to a subject access request or any other data rights request
- How we have handled a data breach that affected you
- Concerns about the fairness, transparency, security or retention of your data
How to complain
Use whichever channel suits you — we treat them all the same way:

If you are complaining on someone else's behalf, we will need to verify your authority to act for them, and we will need to verify your identity before responding — this protects your data too.
What we will do
- Acknowledge your complaint within 30 days of receiving it, and explain how we will investigate and when to expect our response
- Investigate without delay — competently, diligently and impartially, reviewing the relevant records and speaking to the staff involved. Investigations are overseen and signed off by our Director
- Give you a clear, written outcome in plain language: what we found, whether we uphold your complaint, and any remedial action or redress we consider appropriate
- Put right what we got wrong — if we offer remedial action or redress and you accept it, we will carry it out promptly
We keep records of every complaint, our investigation and the outcome for six years, and we use complaints to improve how we work.
If you are not satisfied: the ICO
You can escalate your complaint to the Information Commissioner's Office at any time, and doing so will never prejudice your rights or your relationship with us. You do not have to complain to us first, though it often resolves things faster.
